This privacy policy is for Teeline Online (‘our’, ‘we’, ‘us’).

In compliance with the UK and European data protection regulations, this privacy policy explains what personal information we collect from you when you visit our website or are a recipient of our services.

Teeline Online is committed to processing personal information about its customers/students in ways that comply with its legal and regulatory obligations, and to being clear with customers/students about what it does with their personal information.

We respect and value the privacy of everyone who enquires or purchases our services and will only collect and use information in ways that are useful to you and in a manner consistent with your rights and our obligations under the law.

What is this Privacy Policy for?

The policy sets out how we use personal data.

Teeline Online will not share your data with any other third party. We will, from time to time, contact you about our service and any changes or additions to your learning Teeline shorthand with us, or use of our dictations.

Data collection

Teeline Online may collect personal information which we receive when you:

  •  purchase or are a recipient of our services.

  •  your name, address, email address, telephone number(s) and other contact details
  •  information required to provide you with a service, and details of our services that you have used

All credit card or debit card details are not held by us.  These payments are made via PayPal and therefore we do not have access to this information. Payments made by direct bank transfer (BACS) are made directly from your own bank account and we do not collect this information.

Appropriate firewall technology is used within to prevent unauthorised access to any personal data we hold. All personal data is backed up daily, and archives are stored off-site in a secure location.

We are committed to keeping your information up to date as far as is reasonably possible. However, if you believe that we have made an error, then please contact us as we have outlined below and we will use reasonable endeavours to correct.

How do we use your data?

As a customer/student

The customer organisation data (organisation name, address, URL and key business and contact information) will be stored securely on our system for the purpose of managing the relationship and service, ensuring satisfaction and awareness of products and developments.

Individual learner data (first/last name and email) will be stored on our system to enable learners to access the online learning service.

We will also reply to any customer/student correspondence in order to respond to any questions, queries or concerns in respect of their learning Teeline shorthand.

Keeping your information safe and secure

Teeline Online is committed to keeping customers’ personal information secure to protect it from being inappropriately or accidentally accessed, used, shared or destroyed, and against it being lost.

Subject Access Requests

Under the GDPR, individuals can ask for confirmation that their data is being processed and access it. Teeline Online reserves the right to make a reasonable charge for the information where a request is manifestly unfounded or excessive, particularly if it is repetitive. Once an individual’s identity is verified, Teeline Online will endeavour to respond without delay, and within the one month specified by law.

Third party access

Access to your personal information is only allowed when required by law, we do not, and will never, sell or share your personal information with third parties.

This includes external third-party service providers, such as accountants, auditors, experts, lawyers and other outside professional advisors; IT systems, support and hosting service providers; printing, advertising, marketing outsourced service providers that assist us in carrying out business activities.

We will only retain customers’ personal information for as long as it needs it to carry out a particular purpose or meet a particular obligation.

We share web links on social media pages. Sometimes, these links can be shortened. These shortened URLs or even the displayed URL can be hacked or otherwise changed against our wishes to divert you to another site.  We are not responsible if you are redirected to the incorrect site.

As you know the European GDPR came into force on 25th May 2018.

Your data has always been protected by Teeline Online, but the new GDPR gives individuals new rights and freedoms not afforded by the current Data Protection Act.

‘Personal data' means any information that may (either on its own or in combination with other information) be capable of identifying a living person.

No. Due to the nature of Teeline Online service and data management, there is no requirement for this post.

What service does Teeline Online provide?    

Teeline Online provides an online Teeline shorthand learning resource. Students complete training modules and depending on membership level can submit assignments to our tutor for assessment. 

In providing this service, is Teeline Online processing personal data belonging to its customers? 

Yes. The organisation data (organisation name, address, URL, key business and contact information) is stored securely for the purpose of managing the relationship and service, ensuring satisfaction and awareness of products and developments.

The organisation’s individual learner data (first/last name and email) is stored to enable learners to access the online course and where appropriate reset log in and password details. 

Does Teeline Online process sensitive special category data?

The online lessons are hosted by an external third-party service.

 

Teeline Online carries out due diligence on third-party suppliers related to their position on GDPR. All our systems are located in the UK or EEA.

 

Access to organisation data and individual learner data is only allowed when required by law. We do not, and will never, sell or share your personal information with third parties for marketing purposes.

Does Teeline Online ever transfer personal data outside the UK? If so, please specify where.

Who has access to the data regarding customer data subjects?

The two partners of Teeline Online have access to the data for the purpose of contacting students regarding their online learning.

How is this customer data gathered?

The only data collected prior to registration is when an enquiry is sent through.  The information requested provides Teeline Online to respond to any questions.

After registration, Teeline Online receives payment notification from PayPal.  This information is stored so that the registered member can then be sent their login details and passwords so that they are able to access the online learning resource. If payment is made by bank transfer, the customer will have provided the necessary information: name, email address, telephone number prior in order for payment to be made and registration details confirmed.

Registered members, depending upon the level of membership, and their personal preference may be contacted regarding their online learning - this will include any updates to the online learning, reminders to send assignments, details of any further resources that may be available, e.g. dates for One-day Intensive Teeline Workshops.

How does Teeline Online ensure consent for the data’s use has been obtained.?

The customer is encouraged at all stages, prior to payment to read Teeline Online's terms and conditions.  This clearly explains that by registering the customer confirms their agreement to purchase the service from Teeline Online, consent is agreed between the parties at this stage, as mentioned in the T&Cs.

How will data be provided in response to any EU Citizen Subject Access Requests for data?

A subject access request will follow our internal process and be responded to within the period required by law. 

What happens to personal data when the service contract ends?

At the end of the 12 month period of access, commencing on the date payment was made, Teeline Online will:

1. Permanently delete the organisation, learner data and training history from their records

2.Retain the organisation financial transactional details, in line with HMRC’s legal retention requirements.
